Some items in our store are sold as a subscription, a pre-order, or a gift card. These work differently from a standard one-off purchase, so this policy explains exactly how each one is billed, and how you change or cancel it.

This policy sits alongside our Terms of Service, Returns & Refunds Policy and Shipping Policy. Nothing in it limits your rights under the Australian Consumer Law.

Part A — Subscriptions

A1. How subscriptions work

When you start a Subscribe & Save plan, you're signing up for repeat deliveries of coffee at the frequency you choose.

  • You select the product, grind, size and delivery frequency (for example every 1, 2, 3 or 4 weeks).
  • Your payment method is securely stored by our payment provider — we never see or store your full card number.
  • We charge your payment method automatically before each delivery, then roast and dispatch it.
  • Your subscription continues until you cancel it. There is no fixed term, no lock-in contract, and no cancellation fee.

Your first payment is taken when you sign up. Each subsequent payment is taken on your renewal date.

A2. Pricing and discounts

  • Your subscription discount is applied to every delivery for as long as the subscription runs.
  • Prices can change. If we change the price of your subscription, we will give you at least 14 days' notice by email before the change takes effect. You can skip, change or cancel before then. Any price change applies only to future deliveries — never retrospectively.
  • Standard shipping is free on every subscription delivery. Subscriptions are available on 500g and 1kg bags (250g bags are one-off purchases only).

A3. Renewal reminders

We send you a reminder email at least 3 days before each renewal charge, telling you what's coming, when it will be charged and how much. That's your window to skip, swap, reschedule or cancel.

Make sure the email address on your account is current — reminders go there.

A4. Managing your subscription

You are in control. You can do all of the following at any time, yourself, in a few clicks:

  • Skip the next delivery
  • Reschedule — bring a delivery forward or push it back
  • Change frequency — more or less often
  • Swap the coffee, size or grind
  • Pause for a set period
  • Update your delivery address or payment method
  • Cancel entirely

How:

  1. Click Manage subscription in any order confirmation or renewal reminder email, or
  2. Log in to your account on cubastcoffee.com.au and open Subscriptions, or
  3. Email us at info@cubastcoffee.com.au and we'll do it for you.

We will never make you call to cancel, and we will never require notice in writing beyond a simple email.

A5. Cut-off for changes

Changes and cancellations must be made before your renewal charge is processed.

Once a renewal has been charged and the coffee has been roasted, we can't reverse it — coffee is a perishable product roasted to order. That delivery will go ahead, and your cancellation takes effect from the following cycle.

If you cancel within a few hours of a charge and before we've roasted, email us straight away — we'll do our best to catch it and refund you.

A6. Cancelling

  • Cancelling stops all future charges and deliveries.
  • There is no cancellation fee and no minimum number of deliveries.
  • You keep any delivery you've already paid for.
  • We'll send you a confirmation email when your subscription is cancelled. If you don't receive one, assume it hasn't gone through and contact us.

A7. Failed payments

If a renewal payment fails (expired card, insufficient funds, bank decline):

  • We'll email you and retry the payment up to 3 times over 7 days.
  • Your delivery is paused until payment succeeds.
  • If it still hasn't gone through after the final retry, we'll cancel the subscription and let you know. You can restart it any time.

A8. Changes we may make

We may change or discontinue a subscription product — for example, when a single origin sells out or a crop finishes. If we do, we'll tell you in advance and offer you a comparable alternative, or you can cancel.

We may suspend or cancel a subscription if payment repeatedly fails, if the delivery address is undeliverable, or if the account is being used in breach of our Terms of Service.

A9. Problems with a subscription delivery

If a subscription delivery arrives damaged, wrong, late or faulty, it's covered by our Returns & Refunds Policy exactly like any other order.

Part B — Pre-orders

B1. What a pre-order is

A pre-order lets you reserve coffee that hasn't landed or been roasted yet — typically a new seasonal single origin or a limited release.

The product page will clearly show:

  • that the item is a pre-order
  • the expected dispatch window
  • whether we take full payment or a deposit at checkout

B2. Payment

Depending on the product, we may:

  • take no payment at checkout and charge you when the item is ready to ship;
  • take a partial deposit at checkout and charge the balance before dispatch; or
  • take payment in full at checkout.

Where we store your payment method to charge a balance later, we'll tell you before you pay, and we'll email you before we take the remaining amount.

B3. Cancelling a pre-order

  • Before the item is fulfilled, you can cancel a pre-order at any time for a full refund of anything you've paid, including any deposit. Just email us at info@cubastcoffee.com.au with your order number.
  • Once the item has been roasted and fulfilled, it's treated as a normal order — the coffee is perishable, so change-of-mind cancellation is no longer available. Our Returns & Refunds Policy still applies in full if anything is wrong with it.

B4. Delays and non-arrival

Coffee is an agricultural product, and shipping schedules move.

  • If the expected dispatch date shifts, we'll email you with a revised estimate. You can wait, or cancel for a full refund.
  • If the delay exceeds 30 days beyond the original estimate, we'll contact you and you can cancel for a full refund without needing to give a reason.
  • If the coffee doesn't arrive at all — a failed harvest, a rejected lot, a shipment lost at origin — we'll cancel and refund you in full automatically.

B5. Mixed orders

If your order contains both pre-order and in-stock items, the whole order ships together once the pre-order item is ready. If you'd rather have the in-stock items now, email us — we can split the order, though additional shipping may apply.

Part C — Gift cards

C1. How our gift cards work

  • Gift cards are delivered by email with a unique code, and can be redeemed at checkout on cubastcoffee.com.au.
  • Gift cards are issued in Australian dollars. No GST is charged when you buy a gift card — GST applies, where relevant, to what the card is later spent on.
  • You can use a gift card across multiple orders until the balance runs out. Any remaining balance stays on the card.
  • If your order is worth more than the card, pay the difference with any accepted payment method.

C2. Expiry

Our gift cards never expire. Any unused balance stays on the card until it is spent. (The Australian Consumer Law requires a minimum of three years' validity; we go further and set no expiry at all.)

C3. No fees

There are no activation fees, account-keeping fees, balance-enquiry fees or inactivity fees on our gift cards. The face value is the value you get.

C4. Cancellation and refunds

  • Gift cards are non-refundable and cannot be cancelled or redeemed for cash, except where required by law.
  • Gift cards cannot be resold or transferred for value.
  • Treat a gift card like cash. We can't replace one that's lost or stolen, or reissue a code that's been used by someone else.
  • If you bought a gift card in error, contact us within 24 hours and before it has been used — we'll do our best to help.

C5. Gift packs

Gift packs (physical boxed sets of coffee and merchandise) are ordinary products, not gift cards. They're covered by our Returns & Refunds Policy — including the change-of-mind exclusion on perishable coffee.

If a gift pack is being sent to someone else, use their address as the delivery address at checkout. We can include a handwritten note — add it in the order notes field. We don't include the invoice in gift deliveries.

Part D — Common questions

Can you charge me without telling me?
No. Every recurring charge is preceded by a reminder email at least 3 days out, and every charge generates a receipt.

Is there a lock-in period?
No. Cancel any time, no fee, no minimum.

What if I forget to skip and I've got too much coffee?
Email us. If we haven't roasted it, we'll refund it. If we have, we'll usually credit you and stretch out your next cycle. Coffee freezes well, too.

Where can I see my upcoming charges?
In your account under Subscriptions, or via the Manage subscription link in any of our emails.
